Music for Corporate Entertainment By J Williams

For many years I have supplied music for and played in bands that provide music for corporate entertainment. Clients have included Audi, The Evening Standard, Sainsburys, P.C. World, Safeways, Large corporate clients at Henley and Ascot, I.T.V. and H.M. Treasury. Because of this experience I felt it would be relevant in putting down some pointers in helping clients choose the right kind of music for their particular corporate entertainment.

Interestingly enough, most corporate hospitality entertainment work tends to require music as an ingredient to a larger recipe. What I mean by this is a great deal of corporate events are offering a multi service package. Typically an organization may be putting on an evenings entertainment to thank its workforce for a particularly successful year. They may be offering music, food, comedy, a close up magician, a casino and a caricaturist. The corporate client organizing needs to decide what part the music has to play in the days/evenings entertainment.

Questions he or she needs to ask are:

Is the music specifically for entertainment or is the music for background listening?

Do we need one style of music early on in the proceedings and then a change of style later in the days/ evenings entertainment?

Do you expect the corporate clients to be networking and discussing business or are they just there for a good time?

What overall atmosphere do you want to project with the event?

Is there going to be a change of location for the music as the entertainment event unfolds?

Different styles of music bands lend themselves to different corporate hospitality situations. Below are a number of typical corporate hospitality events with music suggestions for suitable music entertainment.

Corporate entertainment model 1.

Evening reception with dinner and speeches.

In a situation such as this you will typically need music from the outset as part of the meet and greet of the corporate evening. A four-piece swing or Latin group is ideal with a larger ensemble for particularly large gatherings. A professional outfit can pitch the music at just the right decibel level so your guests can talk and enjoy the entertainment without it encroaching on conversations. The musicians would typically be dressed in Lounge Suits or Tuxedos (or the female equivalent) to mirror what the guests are wearing themselves. The music portrays an atmosphere of sophistication, which again hopefully reflects the evenings overall ambience.

It is rare for corporate clients to want to dance especially as clients there relationship is business not pleasure! In most cases it is more important that the band is flexible in when it is needed over the course of the evening i.e. At the top of the night for the reception, a smaller version of the band (The pianist maybe for the dinner), stopping for speeches and then after the speeches to play until other entertainment is put on for the corporate clients. In this situation give the band a clear idea of how you expect the evening to go. What to wear, when they will be needed, when they need to get their instruments in the building and be set up, when breaks will be required, let them know if it is convenient or not to feed them and then finally how they can leave when finished so as not to disrupt the rest of the entertainment.

Company Party.

Still corporate entertainment, still corporate hospitality but a totally different set of requirements for the music. Ask yourself these questions: Are your work force the type of workforce who will want to dance at some point in the proceedings? If they are, then a professional band with flexibility is essential. My experience is that people of all ages will join together to dance to music from the sixties and seventies. Whatever background music you require earlier in the day/evening be it Latin, Swing, Rat Pack or Lounge, if you are hoping to provide entertainment that will get people dancing remember this fact. Sixties and Seventies. For some inexplicable reason this is the music that gets people up on their feet.

When choosing your music ask the band if they can cover this part of the corporate entertainment requirement. Get samples of their music if need be. There is nothing worse than an ill equipped band struggling through alien repertoire. However good the band is, if they do not play the right repertoire, the right style of music then the corporate entertainment will fall on deaf ears.

Let me at this point provide a caveat. Your workforce work together They are not always going to be the best of friends however professional their relationships are at work. Answer truthfully, will they really want to dance together or is it asking too much? I would say that in all the years of providing music for this kind of corporate entertainment / hospitality , as long as the music is right, the workforce tended to dance 30 or 40% of the time. It could be said that a workforce who will enjoy each others company in this way is a reflection on the talent of senior management to create a happy team!

Company Fun Day.

These come in two types. The type to entertain your own workforce or the type to entertain prospective clients. Both types of corporate entertainment require music that is fun. This means that the music must be perceived as fun and the band must be perceived as fun. In both cases Jolly Dixieland Jazz or the summer sounds of Latin music are most suitable.

Ask yourself these questions: does the band need to be mobile? Meaning do you want the music to move around the site at various points in the proceedings? If so then the jolly jazz route is most suitable. A good professional outfit of four or five players can play acoustically and move around a site as directed.

If the band can be static and close to electrical power then either Jolly Jazz or Latin Music is suitable.

Is the event outdoors or indoors and do you have provision for bad weather? This is England, never trust to luck, assume the worst! Any band that needs power cannot play in the rain for health and safety reasons. At the first hint of inclement weather a band will have to breakdown their equipment. Build this situation into your corporate entertainment music decisions.

How do you want the band to dress? It is a fun day after all! In the past I and my musicians have dressed as Elvis, Cavemen, Circus Clowns, in fact all manner of characters in the name of corporate entertainment and corporate hospitality. Good bands will have suitable outfits for most situations but don`t hesitate in providing something off the wall for a special event. Most professional players have a strange urge to jump into such costumes at the earliest possibility! As someone who has played at a nudist camp and for a toga party, both dressed accordingly, take my word for it!

To draw this article together let me say this. Choose the right kind of music for the event. Brief the band accordingly but make sure you have a professional and flexible outfit, things can change over the course of the event and you want to make sure the band are both co-operative and able to fulfill your needs. Don`t hesitate to ask the band for any special requirements you have. Do it in plenty of time so they have time to prepare.

The corporate entertainment and hospitality you offer to your guests reflects directly onto your company. The music and musicians must be the type who are aware of this. Dont go for second best just to save a small amount of money. You need a well prepared, well dressed band who are both polite and charming to your guests. They need to play the right kind of music for the event in order to help make the day or evenings corporate entertainment a resounding success!

Before we look into different types of entertainment, first let's define what entertainment is. Entertainment is any kind of activity that provides amusement for people in a passive way, other entertaining activities that involve participating are considered recreation or hobbies.

There are many types of entertainment for particular tastes, for example we have cinema, theatre, sports, games, social dance, concert, comedy shows, animations, impressionists, clowns and the list goes on and on.

These form of entertainment can than be divided into groups according to the age and interest of the people being entertained. For instance we have child , adult , live action , public and corporate entertainment. In this article we'll give a brief explanation to some of these forms.

Child Entertainment

Kids need to be entertained and some times the entertainer or the entertainment agency needs to find a balance between mental and physical activities. Clowns, puppets, pantomimes and cartoons tend to appeal to children, though adult might find it enjoyable too.

Adult Entertainment

Adult Entertainment many times is related to the sex industry, but this form of entertainment can not be related only with the sex industry and its branches. Adult Entertainment involves things like music concerts, live sports, opera and a hand full of other activities that kids might not find so appealing.

Live Entertainment

This form of entertainment is broadened to all ages as there are a variety of activities that can labelled as live entertainment. For instance music concerts, live TV shows, live sports, theatres and any other activity that you could think of that is aimed to amuse people.

Public Entertainment

Nowadays probably one of the forms of entertainment that have grown the most, thanks to the economic downturn. When you walk around any major city around Europe you will notice a wide range of public entertainers working for any amount of money the public decides to give them. There are public entertainers of all sorts from mimes to Peruvian Flute bands all working with the uncertainty of how much money they will make, that is why they tend to be more common in major cities where there are more tourists.

Corporate Entertainment

Aimed for corporate events, private parties, award ceremonies, product launches and it is better organized by a professional entertainment agency as most of time these events involve hundreds maybe thousands of people and no one better than the professionals to take care of these form of entertainment.

Event Successful! How To Throw A Great Event? By Abhishek Agarwal

If you're planning a party or successful event, you'll have a lot to think about and do over the coming weeks. Being responsible for everything from the location to the party favors can be intimidating, but never fear. Here are some basic steps that will help you plan and host a successful event.

1. The Plan is the Party!

The most single important aspect of having a successful event is to plan successfully. Consider all the scenarios - best, bad, and really bad. Now build your event plans to address your best dreams and worst nightmares. First, what is your goal? Are you throwing a bash for a long, lost friend? Are you selling a service or product to your customers? Are you raising funds for a charity? Your purpose for having the event should be the framework for everything you do from here on out.

Plan not only what you want to happen, but what you will do if it doesn't go that way. Give yourself lots of time to do your research, arrange for services, get the accessories, and encourage great attendance. Start with the big picture items like the location, the date and time, your theme, and your goals. Work your way down to the details including, but not limited to, table decorations, menu and specific dishes, space layout, coat storage. Plan flexibility into your schedule, and you're more likely to have a successful event.

2. Get and Stay Organized

Once you've established your plan and schedule, stick to it. Of course, there will inevitably be problems and changes. But make it a point to keep personally organized. There'll be a lot you can't control, but you can control your own time, your health, and your attitude. When you start wandering away from your plan, things will become chaotic, harder to manage. Don't let the ankle-biters distract you. Be flexible, but keep your overall goals and schedule at the front of your mind. Keep your planning materials, contracts, and correspondence organized in folders. Use a day-planner to keep track of your appointments and commitments. And always, always plan "me time" to maintain your energy and interest in this project. Staying organized as a critical part of planning and executing a successful event.

3. Make the Venue a Driving Decision

Once you have your plan laid out, your first big decision will be where to locate the event. How many people do you expect to invite? What type of entertainment are you planning? (A keynote speaker will use a lot less space than a 10-piece chamber orchestra.) Are you serving a sit-down dinner, a buffet, snacks? How much space will you need for seating? Do you want to be in a facility where other services are available? How far are you willing to make people travel to get there? Do you want an elaborate, expensive setting? Or will a casual, relaxed environment be best? When you know what type of place you want to use, identify at least three candidate locations and visit each one of them personally. Talk to the facility managers. Ask lots of questions. Find out what they'll provide as part of the contract and what you'll need to provide on your own. Ask for detailed formal bids from the candidates, and be sure to let them know they are competing. That will bring in lower bids. The investment of time and effort in selecting and securing the perfect facility will pay off big time on the night (or day) of your wildly successful event.

4. Develop a Detailed Schedule for Event Activities and a Program

You probably already know the theme of the event if you've established your goals and you've selected an appropriate location. Now you need to plan activities that are consistent with your theme. The larger the event, the more carefully each activity must be planned. For big events, will you have speakers and presentations? Ceremonies? What types of activities are you planning? As a first step, sit down and make a list of every activity you want to happen. Then order them in a logical way that flows. Plan for some unstructured social mixing time at the beginning and end of your successful event. Decide how long you want to allow for meals, speakers, announcements, and entertainment. Allow extra time for your guests to leave for a smoke or a bathroom break. Keep your guests busy, but not so busy that they feel stressed or overloaded. Build in time for fun and relaxation as well.

5. Now Turn to the Details

The first major part of your detail planning is food and drink. Food arrangements range from the very complex sit-down multi-course meal to the pot-luck munch-n-go party. You'll need to decide whether you and your helpers can provide the food or whether it would be easier and more appropriate to hire a caterer. If you do decide on a caterer, go through the same process as you did when securing a location. Select candidates, interview them, and get formal bids. Decide what menu you can afford and want to serve you want the caterer to prepare. When you've made a decision on the caterer, sign a contract with your agreements outlined very specifically. Have costs broken out into line items so that, if you have to, you can make changes to adjust to your budget.

Many caterers also provide beverages. Do you want to have an open free cash bar or will you ask guests to make for their own alcohol? Do you want to have alcohol at all? If you decide on serving booze, you may also need to consider hiring some security guards to make sure things don't get out of hand. Again, whether through your caterer or as an independent service, get formal bids and sign a written contract for the beverage service. (Some locations will provide non-alcoholic beverages as part of the rental agreement.)

6. Focus on Entertaining Your Guests

Once you are settled on the facility, the theme, and the food and drink, you'll need to pin down your entertainment. For more serious gatherings, you may want to hire a keynote speaker or ask for presentations. For more social gatherings, you should consider a band or orchestra, a DJ or comedian, or other entertainers. Will your entertainment involve dancing? You'll need to be sure you have the space for that. If you're using an emcee, DJ, or comedian, a small podium will probably work. But if you're having band or group of entertainers, you'll need a stage. You may even want to have structured games or entertaiment (ever heard of the murder mystery party?) that your guests can participate in. If you're holding a fund-raising event, you might consider an auction or competition designed to get bids. Whatever entertainment you choose, make sure it's appropriate for you theme. And time the presentation of entertainment after dinner or snacks. If you have a keynote speaker, have them start their presentation about half-way though the meal so that they don't have to compete with the hustle and bustle of getting people seated, early dinner conversations, and the tinkle of glassware and silver.

7. Cultivate your Providers

To have a successful event, you must develop and maintain positive, productive relationships with your vendors. The first step is selecting reputable, dependable vendors that come with good recommendations. Avoid vendors who can't or won't get you in touch with their other clients. Be very clear with them about what you need and what your expectations of them are. Always get your agreements down in writing to avoid confusion and disappointment later on. Be kind and considerate with them. Don't think that because you've hired them, you can treat them without respect. Your successful event may well depend on the nature of the relationships you've built with them. Remember that important point as if your successful event depended on it ... it does.

8. Take Care of Yourself

No matter how busy you become or how difficult the job may be, you absolutely MUST take care of yourself. Stress can cause illness, and the last thing you'll need is a bad cold or the flu as your planning is underway. If you can afford it, hire an assistant to help you with the smaller details. Or get others in your organization to volunteer their time. Have someone you trust to be a sounding board for your ideas and plans so that you don't go off on some tangent that doesn't make sense. Two heads are almost always better than one.

But more than anything else, build time into your plans for self-care. Give yourself time to take a day off at the spa or the local nature preserve. Build a time into each day for meditation, reading a novel, playing with the kids or your pet, or visiting with friends. Do what you enjoy. Make sure to eat properly and get plenty of rest. Aim for 8 hours of sleep every night, and take naps in the daytime if you need to. Plan social time too. Go to lunch or dinner with your friends. Ask your partner to go to the movies. See a play or go to a concert. Do things that keep you interested and positive in life generally. That will maintain your physical and psychological health and your ability to cope with the myriad of decisions, activities, and events that will inevitably come up during the event-planning process.

The Internet - Now That's Entertainment

The Internet is now a source of everything from pure entertainment to up to the minute news for the private citizen, but it hasn't always been that way. In fact, in the early days of the Internet (before it even carried that name), it was strictly limited in its use and no one would have dared suggest it be used for any frivolous. The Internet was originally conceived of in the early 1960's as a way to enable multiple computers to access information for research and development purposes in the scientific and military communities.
By 1970, several major universities had super computers sharing information between research groups and libraries as well as exchanging an early form of email. The increase in information necessitated a way of indexing and organizing the information that eventually led to simpler codes, hypertext and ease of use in the 1980's. Initially, the government funded the development of the Internet, so commercial use was prohibited unless it was directly linked to research or education.
Everything changed in the late 1980's and early 1990s, when independent commercial networks sprang up in response to the ease of use and smaller, less expensive computers for office and home use. Since these independent commercial networks could pay for their own Internet connections, they could route to each other and bypass the government's "backbone." By 1995, the World Wide Web was in full swing and the government was out of the Internet business.
Predictably, as soon as the Internet was open to the public, individuals changed its look. Individuals wanted more than just a way to conduct business or do their banking, although such practical applications were certainly popular. Today's Internet provides information, ease and more than anything else, entertainment to home users.
The entertainment industry quickly jumped on the Internet bandwagon by distributing movie trailers, early release teaser chapters from new books and lots of press photos for always-interested fans. They created entire websites dedicated not only to networks, but also to movies, particular televisions shows and even particular fictional characters. Today, many televisions shows have mirror websites with special features that add to the viewer experience. For instance, if you love the show "Monk" on the USA Network, you can play games relating to the character's peculiarities, take quizzes about past episodes and enter contests to win prizes or learn more about the characters to enhance enjoyment of the show. That's savvy marketing.
In an entirely different vein, the Internet brought entertainment of other kinds right into the home that people previously had to go to, not the other way around. Video poker, arcade games, and downloadable streaming video all mean that you can be entertained 24/7 without ever leaving home. Users can play a few hands of cards or enter a tournament. There are tournaments going on around the world at any given time. It's even possible to play a classic pinball game by downloading it to your computer.
In fact, the face of entertainment has changed considerably by allowing individuals to upload their own photos and videos for the world to see and even script and edit their own films. The Internet has made us all into amateur photographers and videographers with a potential audience of millions thanks to YouTube, Flickr and other programs. Not only does the Internet provide us with 24/7 entertainment, it allows us to provide the world with entertainment that we've made. Upload a clip of that amazing wipe-out you made on the slopes during your last ski trip and you'll be amazed how fast you become entertainment for millions of viewers.
Some of the most popular sites on the Internet are celebrity gossip sites. It's human nature in today's hectic world, when we're all hunkered over our computers hours every day working to earn a living, to want to click over to a gossip site for a few minutes and check out how "the other half" lives. It's harmless entertainment news that reassures us that are lives aren't so bad, and we get the guilty thrill of checking out the photos.
With so much instant gratification at our fingertips, the Internet has changed the face of entertainment forever. With the Internet in almost every home, you can no longer feel there is nothing to do. After all, there's always something entertaining just a click away.

Today is the world of entertainment. People have busy and stressful lives to lead. So the ultimate stress buster is the home entertainment. Until recently, people went for a movie to a nearby theater for entertainment. But with the introduction of VCR's, it became convenient for them to watch movies at home. But the TV was not as good as the theater screen, which were huge. The quality of the sound was also not as good as theater. But with the introduction of more and more improved versions of TVs, people are now getting more technically advanced home entertainment TVs.

Home theater is one of them. People have welcomed into their homes the big home theater, which is a huge entertainer. To choose the best corporate entertainer/ entertainment for your Conference, Christmas Party or Gala dinner requires planning and research. It will also allow you to meet with them personally to ensure that they are suited to your event. Often agencies will not allow you to meet the entertainer prior to the event. They add their fees to the overall cost of the entertainer. So by booking directly you could save money on your entertainment. Many entertainers are also willing to customise the performance which is something that is difficult to coordinate via an agent. There are also travel expenses when hiring entertainers. You will need to factor this into the cost of booking a specific entertainer.

To ensure that things run smoothly you should discuss what the entertainer requires on the night. Usually the venue can accommodate them with the sound and lighting equipment and microphones etc. However you should be aware of any other special set up requirement.

Your corporate entertainment should leave you guests excited and wanting more. So keeping the entertainers performance to 30 mins will ensure that guests aren't bored.

10 Ways to Save Money When Booking Top Quality Entertainment For Your Event Or Meeting

1. Ask for a reasonable discount. Try asking for a small discount of about 10% to 15% off. This way you have a better shot of getting the discount than if you asked for 40% off and you also do not offend the talent or company by assuming they would work for whatever amount you could pay. Be honest and sincere when requesting a discount.

2. See if you are able to book the talent for multiple dates or engagements for your event or meeting and ask if there is discount for multiple bookings. Perhaps the act could change their performance a bit so they are not doing the same act twice.

3. Ask the entertainment company if they offer any type of package deal for the type of performer you are looking for. Can they bundle the act with other acts and offer the entire package at an attractive price?

4. Book the entertainment as far out as possible, especially on high demand events such as Christmas or New Years Eve parties. Some entertainers raise their prices annually.

5. Offer to use the entertainment company for next year's event if they are able to meet you on the price of an act. T his way both parties win.

6. Book unique and undiscovered talent. Ask your entertainment company about new innovative talent that is on the rise and see if you can catch the talent on the way up, before they become a high priced act. Good entertainment companies always have their hands on the pulse of the newest talent for their clients.

7. Offer a great incentive for the talent in exchange for a small discount. They might be a free hotel stay, meals, limo to the event, gift bag. Come up with novel incentives that may encourage the act to give you a break, but that do not cost you much if anything at all and have a high perceived value.

8. Get a sponsor to cover the cost of entertainment. This is especially popular if you are looking to book a celebrity or high fee talent for your event. A sponsor is usually more attracted to an event if a celebrity is a part of it.

9. Be flexible with the dates you book. You are most likely going to be able to negotiate a lower price if the event or meeting is during the week than on the weekends, and if it is in the daytime than in the evenings. Ask if the price varies depending on the times and days of the week that you book.

10. Provide all or lots of the AV equipment needed for the act. This is especially true for musical acts and others. Many charge more if they have to bring their own AV equipment. Make sure you mention to them that you will provide all the AV at the event.
